1. Definitions

  • “Hotel”: China City Hotel, Nairobi
  • “Guest”: Any person making a booking or staying at the hotel
  • “Booking”: Reservation for accommodation and/or services

2. Reservations & Payments

2.1 Booking Requirements

  • Valid ID/passport required for all guests
  • Credit card guarantee needed for reservations
  • Special requests (e.g., accessible rooms) subject to availability

2.2 Payment Terms

  • Rates: Include VAT, exclude city taxes (if applicable)
  • Methods Accepted:
    ✓ Credit/debit cards (Visa, Mastercard)
    ✓ Mobile money (M-Pesa)
    ✓ Bank transfers (for group bookings)
  • Deposit: 30% required for peak season/long stays

2.3 Cancellation Policy

  • Standard Rate: Free cancellation 48hrs prior to arrival
  • Non-Refundable Rate: No cancellations/modifications permitted
  • No-Shows: Full charge applies

3. Guest Responsibilities

3.1 Conduct

  • Noise must be minimized between 10PM–7AM
  • Smoking only in designated areas (Ksh 5,000 cleaning fee for violations)
  • Illegal activities prohibited (will result in immediate eviction)

3.2 Property Damage

  • Guests liable for willful/negligent damage to rooms or property
  • Replacement cost for missing items (e.g., towels, electronics) charged to room

3.3 Safety & Security

  • Room keys must not be duplicated
  • Valuables may be stored in in-room safes (hotel not responsible for unsecured items)

4. Hotel Policies

4.1 Check-In/Out

  • Check-In: 2:00 PM | Check-Out: 11:00 AM
  • Late check-out (subject to availability):
    ✓ 50% room rate charge until 3:00 PM
    ✓ Full day rate after 3:00 PM

4.2 Children & Extra Beds

  • Children under 12 stay free with existing bedding
  • Extra beds: Ksh 1,500/night (max 1 per room)

4.3 Pets

  • Small pets allowed (<15kg) with prior notice
  • Ksh 2,000/night pet fee (excludes guide dogs)

5. Limitation of Liability

  • The hotel is not responsible for:
    ✓ Travel delays/cancellations
    ✓ Theft/loss of unattended valuables
    ✓ Mechanical failures (elevators, AC, etc.) during repairs

6. Force Majeure

The hotel may cancel bookings without liability for:

  • Natural disasters
  • Government travel restrictions
  • Utility failures beyond our control

7. Dispute Resolution

  • Complaints must be submitted in writing within 7 days of stay
  • Kenyan law governs all disputes
  • Mediation through [Nairobi Arbitration Centre] required before litigation

8. Amendments

  • Terms may be updated without prior notice
